Job Summary:
We are seeking a proactive and detail-oriented Administrative Office Manager to oversee the daily operations of our office in Dubai, within the dynamic field of Information Technology. This role is vital in ensuring the smooth functioning of administrative processes and supporting the overall productivity of our team. The ideal candidate will be an organized multitasker with strong leadership skills, capable of managing various administrative functions while maintaining a positive work environment.
Key Responsibilities:
- Office Management: Oversee day-to-day office operations, including facility management, office supplies procurement, and maintenance of office equipment to ensure a safe and efficient work environment.
- Team Coordination: Work closely with IT teams to schedule meetings, coordinate project timelines, and facilitate communication between departments, ensuring alignment with organizational goals.
- Administrative Support: Provide comprehensive administrative support to senior management, including managing calendars, scheduling appointments, and preparing reports and presentations.
- Financial Administration: Assist in budget preparation, monitor office expenditures, and manage accounts payable and receivable processes to maintain financial accuracy.
- Human Resources Coordination: Support HR functions, including recruitment processes, onboarding of new employees, and maintaining employee records in compliance with company policies and legal requirements.
- Policy Development: Develop and implement administrative policies and procedures to improve office efficiency and ensure compliance with industry standards.
- Communication Management: Serve as the primary point of contact for internal and external communications, handling inquiries, and resolving issues promptly.
- Project Coordination: Assist in the planning and execution of company events, training sessions, and team-building activities to enhance employee engagement.
- Data Management: Maintain organized and accurate filing systems, both physical and electronic, ensuring easy access to information and adherence to data protection regulations.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field.
- A minimum of 5 years of experience in administrative management or office management, preferably within the Information Technology sector.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Proven leadership capabilities, with experience in managing teams and fostering a collaborative work environment.
- Strong problem-solving skills and attention to detail, ensuring tasks are completed accurately and efficiently.
