Job Description:
We are seeking a dedicated and enthusiastic Hospitality Assistant to join our dynamic team in the pharmaceutical sector based in Dubai. The ideal candidate will be responsible for providing exceptional support to ensure a high level of hospitality and patient care. You will play a crucial role in creating a welcoming and efficient environment for both staff and visitors, contributing to our mission of delivering outstanding pharmaceutical services.
Key Responsibilities:
1. Guest Services:
- Greet and assist visitors, clients, and staff in a courteous and professional manner.
- Manage the reception area, ensuring it is clean, organized, and welcoming.
- Answer phone calls and respond to inquiries with accurate information about services and products.
2. Administrative Support:
- Assist in scheduling appointments and managing calendars for healthcare professionals.
- Maintain accurate records of visitor logs and appointment schedules.
- Coordinate with various departments to facilitate smooth operations and communication.
3. Event Coordination:
- Support the planning and execution of internal and external events, meetings, and conferences.
- Prepare meeting rooms, ensuring all necessary equipment is available and functional.
- Assist in catering arrangements and manage food and beverage service during events.
4. Patient Care:
- Provide information and assistance to patients regarding services, ensuring a compassionate and empathetic approach.
- Help patients navigate the facility and connect with appropriate healthcare professionals.
- Maintain confidentiality and adhere to all patient privacy regulations.
5. Facility Management:
- Monitor the cleanliness and maintenance of common areas and ensure compliance with health and safety standards.
- Report any maintenance issues promptly to the appropriate personnel.
- Assist in inventory management of office supplies and hospitality items.
6. Team Collaboration:
- Work closely with other team members to ensure a seamless experience for all guests and clients.
- Participate in team meetings and contribute to the continuous improvement of hospitality services.
- Provide training and guidance to new staff members as needed.
Qualifications:
- High school diploma or equivalent; a degree in hospitality management or a related field is preferred.
- Minimum of 2 years of experience in a hospitality or customer service role, preferably within the healthcare or pharmaceutical industry.
- Excellent communication and interpersonal skills with a strong customer service orientation.
- Ability to work in a fast-paced environment and manage multiple tasks effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with hospitality management software is a plus.
- Strong organizational skills and attention to detail.
- Fluent in English; proficiency in Arabic or other languages is an advantage.
