Job Description:
We are seeking a dedicated and detail-oriented Municipal Clerk Assistant to join our team in Sharjah's real estate sector. The successful candidate will provide essential support to the Municipal Clerk, ensuring that all municipal records, documents, and processes are managed efficiently and accurately. This role is pivotal in facilitating effective communication between the public and government entities while ensuring compliance with local regulations.
Key Responsibilities:
- Assist the Municipal Clerk in preparing, maintaining, and managing official municipal documents and records related to real estate transactions, property assessments, zoning, and permitting.
- Provide administrative support, including scheduling meetings, managing calendars, and handling correspondence.
- Respond to inquiries from the public, real estate professionals, and government officials regarding municipal services, regulations, and procedures.
- Assist in the preparation of meeting agendas, minutes, and reports for municipal meetings and public hearings.
- Support the management of public records requests and ensure compliance with relevant laws and regulations regarding public access to information.
- Maintain accurate and organized filing systems for both electronic and physical documents.
- Collaborate with various departments to facilitate the processing of permits and licenses related to real estate development.
- Conduct research and gather data as needed for reports, presentations, and decision-making processes.
- Assist in the implementation of new procedures and technologies to enhance the efficiency of municipal operations.
- Participate in training sessions and professional development to stay updated on changes in municipal regulations and best practices in real estate.
Qualifications:
- Bachelor’s degree in Public Administration, Real Estate, Business Administration, or a related field is preferred.
- A minimum of 2 years and a maximum of 7 years of experience in a similar role, preferably within a municipal or real estate environment.
- Strong knowledge of local government operations, real estate laws, and regulations in Sharjah.
- Excellent organizational skills with a keen attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with municipal management software.
- Strong verbal and written communication skills in both English and Arabic.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong problem-solving skills and the ability to handle sensitive information with discretion.
