Job Description:
We are seeking a motivated and detail-oriented Office Support Specialist to join our dynamic team in the telecommunications sector. The ideal candidate will provide essential administrative support to ensure the smooth operation of our office while contributing to our mission of delivering exceptional telecommunications services.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative assistance to various departments, including scheduling meetings, managing calendars, and coordinating travel arrangements for staff.
- Customer Service: Act as the first point of contact for clients and visitors, addressing inquiries, resolving issues, and providing information about our services in a professional and courteous manner.
- Document Management: Maintain and organize company documents, including filing, data entry, and ensuring documents are up-to-date and easily accessible. Prepare reports and presentations as required.
- Office Organization: Oversee office supplies inventory, ordering supplies when necessary, and ensuring the office environment is clean and organized. Coordinate with vendors and service providers to maintain office equipment.
- Communication: Facilitate effective communication within the office and with external stakeholders through emails, phone calls, and in-person interactions. Assist in the preparation and distribution of internal communications and newsletters.
- Event Coordination: Assist in planning and organizing company events, meetings, and training sessions, including logistics, catering, and materials preparation.
- Data Entry and Reporting: Enter and maintain accurate data in our systems, conduct regular audits, and assist in generating reports to support operational decisions.
- Team Collaboration: Work closely with colleagues to support various projects and initiatives, contributing to a collaborative and productive work environment.
Qualifications:
- Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
- Minimum of 3 years and maximum of 7 years of experience in an administrative or office support role, preferably in the telecommunications industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
- Excellent organizational skills with the ability to multitask and prioritize effectively.
- Strong verbal and written communication skills in English; proficiency in Arabic is a plus.
- Demonstrated problem-solving abilities and a proactive approach to tasks.
- Strong attention to detail and a commitment to maintaining confidentiality.
- Ability to work independently and as part of a team in a fast-paced environment.
