Job Overview:
We are seeking a proactive and detail-oriented Office Support Specialist to join our dynamic team in Dubai. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing essential administrative support to various teams within the organization, and contributing to our commitment to delivering exceptional IT services. This position requires strong organizational skills, excellent communication abilities, and a solid understanding of office and IT processes.
Key Responsibilities:
- Serve as the primary point of contact for office inquiries, providing assistance and resolving issues in a timely manner.
- Manage office supplies inventory, including ordering, stocking, and maintaining an organized supply room.
- Assist in the coordination of office events, meetings, and training sessions, including room bookings, catering arrangements, and logistics.
- Support IT staff with administrative tasks, including documentation, scheduling, and reporting as needed.
- Maintain accurate records of office expenditures and assist in budget tracking.
- Facilitate effective communication between teams, ensuring that information is disseminated promptly and clearly.
- Prepare and distribute internal communications, memos, and reports as necessary.
- Assist in the onboarding process for new employees, ensuring they have the necessary resources and access to IT systems.
- Manage and maintain office equipment, coordinating repairs and maintenance with vendors as required.
- Ensure compliance with company policies and procedures, supporting a safe and productive work environment.
Qualifications:
- Bachelor’s degree in Business Administration, Information Technology, or a related field preferred.
- A minimum of 3 years of experience in an administrative or office support role, preferably within the IT industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with office management software (e.g., Google Workspace, project management tools).
- Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of basic IT concepts and terminology is highly desirable.
