Job Description:
We are seeking a highly organized and motivated Assistant Facilities Manager to join our team in Dubai. The ideal candidate will have a strong background in facilities management within the Information Technology sector, and will play a key role in supporting the overall operational efficiency and functionality of our facilities.
Key Responsibilities:
1. Facility Operations Management:
- Assist in the daily operations of the facilities to ensure a safe, efficient, and productive work environment.
- Support the Facilities Manager in planning and implementing maintenance schedules and procedures.
- Monitor facility condition and performance, identifying areas for improvement and implementing solutions.
2. Vendor Management:
- Liaise with external vendors and service providers for maintenance, repairs, and facility service contracts.
- Assist in the procurement process for facility-related supplies and services, ensuring cost-effectiveness and quality.
3. Health and Safety Compliance:
- Ensure compliance with health and safety regulations, conducting regular inspections and audits of the facilities.
- Implement safety protocols and training for staff to promote a safe workplace.
4. Space Management:
- Assist in space planning and utilization to optimize the use of office and technology spaces.
- Coordinate office moves and reconfigurations as required.
5. Budgeting and Reporting:
- Support the Facilities Manager in developing and managing the facilities budget.
- Prepare and submit regular reports on facility operations, maintenance activities, and expenses.
6. Project Coordination:
- Assist in the management of facility improvement projects, ensuring they are completed on time and within budget.
- Collaborate with IT teams to ensure that technology infrastructure meets operational needs.
7. Customer Service:
- Serve as a point of contact for facility-related inquiries from staff, addressing concerns and resolving issues promptly.
- Foster positive relationships with colleagues and stakeholders to promote a collaborative work environment.
Qualifications:
- Bachelor’s degree in Facility Management, Business Administration, Engineering, or a related field.
- A minimum of 3 to 5 years of experience in facilities management, preferably within the Information Technology sector.
- Strong understanding of facility maintenance, operations, and health and safety regulations.
- Proficient in using facility management software and Microsoft Office Suite.
- Excellent organizational, problem-solving, and multitasking skills.
- Strong communication and interpersonal skills, with the ability to work well in a team environment.
- Knowledge of project management principles is a plus.
- Certification in Facility Management (e.g., IFMA, BIFM) is an advantage but not mandatory.
