Job Description:

We are seeking a highly organized and proactive CEO Assistant to support our executive team in the construction industry. The ideal candidate will possess exceptional administrative skills, a strong understanding of the construction sector, and the ability to manage multiple tasks efficiently. As the CEO Assistant, you will play a crucial role in facilitating communication, managing schedules, and ensuring the smooth operation of the executive office.

Key Responsibilities:

- Administrative Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication Management: Act as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and timely responses to inquiries.
- Document Preparation: Prepare and edit correspondence, reports, presentations, and other documents as required. Maintain an organized filing system for easy retrieval of information.
- Meeting Coordination: Organize and prepare materials for board meetings, executive meetings, and other relevant gatherings. Take minutes and track action items to ensure follow-up.
- Project Assistance: Assist in the management of various construction projects by tracking progress, coordinating with project managers, and compiling reports for the CEO.
- Research and Analysis: Conduct research on industry trends, competitors, and market opportunities to provide the CEO with insightful information for decision-making.
- Budget Management: Assist with budgeting and financial tracking related to executive expenses and project costs. Ensure adherence to financial policies and procedures.
- Event Planning: Coordinate company events, meetings, and seminars, ensuring all logistics are handled efficiently.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism.

Qualifications:

- Bachelor’s degree in Business Administration, Construction Management, or a related field.
- A minimum of 3-8 years of experience in an administrative or executive support role, preferably within the construction industry.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills in English; proficiency in Arabic is an advantage.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Strong interpersonal skills with the ability to build relationships at all levels of the organization.
- Ability to work independently and as part of a team in a fast-paced environment.
- A proactive approach to problem-solving and the ability to think critically under pressure.
