Job Summary:
We are seeking a motivated and detail-oriented Assistant Event Coordinator to join our dynamic team in Dubai’s telecommunications sector. The ideal candidate will be responsible for supporting the planning and execution of a variety of events, including conferences, trade shows, and corporate meetings. This role requires excellent organizational skills, creativity, and the ability to work collaboratively with multiple stakeholders.
Key Responsibilities:
- Event Planning and Coordination: Assist in the planning and execution of events from conception to completion, ensuring they align with company objectives and branding guidelines.
- Vendor Management: Liaise with vendors, suppliers, and venues to secure services and negotiate contracts, ensuring quality and cost-effectiveness.
- Logistics Coordination: Organize event logistics, including transportation, accommodations, catering, and equipment rentals, ensuring all details are managed effectively.
- Budget Management: Assist in the preparation and monitoring of event budgets, tracking expenses, and ensuring adherence to financial constraints.
- Marketing Support: Collaborate with the marketing team to develop promotional materials, coordinate social media campaigns, and enhance event visibility through various channels.
- Registration and Attendee Management: Manage event registration, including the setup of online registration platforms and communication with attendees regarding event details.
- On-Site Support: Provide on-site support during events to ensure smooth operations, troubleshoot issues, and assist with the setup and breakdown of event spaces.
- Post-Event Evaluation: Assist in the evaluation of events by gathering feedback from attendees, analyzing success metrics, and preparing reports for future improvements.
- Networking and Relationship Building: Foster relationships with clients, attendees, and industry partners to enhance event experiences and promote future collaboration.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Communications, or a related field.
- Minimum of 2 to 5 years of experience in event coordination or a related role, preferably within the telecommunications industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software (e.g., Cvent, Eventbrite).
- Strong organizational and multitasking skills with a keen attention to detail.
- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Ability to work under pressure and meet tight deadlines.
- Strong interpersonal skills and the ability to work effectively in a team environment.
- Flexibility to work irregular hours, including evenings and weekends, as needed.
