Job Description:

We are seeking a highly organized and proactive Facilities Coordinator Assistant to support our facilities management team in the telecommunications sector. This role is crucial in ensuring the smooth operation of our facilities, contributing to a safe, efficient, and productive working environment for our staff and clients. The ideal candidate will possess excellent communication skills, attention to detail, and a strong ability to multitask in a fast-paced setting.

Key Responsibilities:

- Assist the Facilities Coordinator in the daily management of all facility-related operations, including maintenance, repairs, and service requests.
- Serve as the primary point of contact for all facility-related inquiries from employees, ensuring timely resolution of issues.
- Support the organization and execution of facility-related projects, including renovations and relocations, ensuring compliance with safety regulations and company policies.
- Coordinate with vendors and contractors for maintenance and repair services, including obtaining quotes, scheduling work, and ensuring quality standards are met.
- Maintain accurate records of facility maintenance activities, service requests, and inventory of supplies and equipment.
- Conduct regular inspections of the facility to identify maintenance needs or safety hazards, reporting findings to the Facilities Coordinator.
- Assist in the development and implementation of facility policies and procedures to enhance operational efficiency and safety.
- Support the preparation of budgets and reports related to facility management, providing relevant data for analysis and decision-making.
- Help organize office space, furniture, and equipment, ensuring optimal layout and functionality.
- Participate in emergency response planning and drills, ensuring all safety protocols are adhered to.
- Foster a positive working environment by promoting teamwork and collaboration within the facilities team and across departments.

Qualifications:

- Bachelor’s degree in Facilities Management, Business Administration, or a related field is preferred.
- Minimum of 3 years of experience in facilities management or a related field, preferably within the telecommunications industry.
- Knowledge of building maintenance, safety regulations, and facility management best practices is an advantage.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and facilities management software.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Ability to work independently as well as collaboratively within a team environment.
- Demonstrated problem-solving skills and attention to detail.
- Flexibility to adapt to changing priorities and work in a fast-paced environment.
