Job Summary:
We are seeking a proactive and detail-oriented Facilities Coordinator Assistant to join our dynamic team in Dubai's retail sector. The ideal candidate will support the Facilities Coordinator in ensuring the efficient and effective operation of our retail spaces. This role involves coordination of maintenance and repair work, vendor management, and contributing to a safe and welcoming environment for our staff and customers.

Key Responsibilities:

- Assist the Facilities Coordinator in the day-to-day operations of retail facilities, ensuring they are maintained to high standards of safety, cleanliness, and functionality.
- Coordinate with maintenance personnel, contractors, and service providers to schedule and oversee repair and maintenance work across multiple retail locations.
- Maintain accurate records of maintenance schedules, service requests, and inventory supplies, ensuring that all documentation is up-to-date and easily accessible.
- Support the procurement of facilities-related supplies and equipment, including obtaining quotes from vendors and tracking orders.
- Conduct regular inspections of retail facilities to identify maintenance needs and ensure compliance with health and safety regulations.
- Assist in the development and implementation of facility management procedures and policies, ensuring adherence to company standards and local regulations.
- Communicate effectively with retail staff regarding facility issues, providing updates and assistance as needed.
- Collaborate with the Facilities Coordinator to plan and execute facility projects, including renovations and improvements.
- Support the organization of staff training sessions related to facility safety and emergency procedures.
- Respond promptly to facility-related emergencies and assist in resolving issues efficiently and effectively.

Qualifications:

- Bachelor’s degree in Facility Management, Business Administration, or a related field is preferred.
- A minimum of 3 years of experience in facilities management, operations, or a similar role, preferably in the retail sector.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills, with the ability to work collaboratively with diverse teams.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and facility management software.
- Knowledge of health and safety regulations and best practices in facility management.
- Ability to manage multiple tasks and prioritize workload in a fast-paced environment.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
