Job Overview:

We are seeking a highly organized and detail-oriented Hospital Administrative Assistant to support the operational and administrative functions of our healthcare facility within the Aerospace and Defense sector. The ideal candidate will possess strong communication skills, a proactive attitude, and the ability to thrive in a fast-paced environment. This role is crucial in ensuring that our hospital runs efficiently and effectively, facilitating high-quality patient care and supporting our specialized medical teams.

Key Responsibilities:

- Administrative Support: Provide comprehensive administrative support to hospital management and clinical staff, including scheduling meetings, managing calendars, and preparing reports and presentations.

- Patient Coordination: Assist with patient admissions, scheduling appointments, and managing patient records while ensuring compliance with privacy regulations and data protection laws.

- File Management: Maintain and organize both electronic and physical filing systems, ensuring that all documents are properly archived and easily retrievable.

- Communication: Serve as a primary point of contact for internal and external stakeholders. Manage phone calls, emails, and in-person inquiries professionally and efficiently.

- Billing and Insurance: Assist with billing processes, insurance verification, and payment collection, ensuring accuracy and timeliness in all financial transactions.

- Inventory Management: Monitor and manage office supplies and medical inventory, placing orders as necessary to ensure that the hospital operates smoothly.

- Event Coordination: Help organize hospital events, training sessions, and meetings, including logistics, catering, and materials preparation.

- Compliance and Reporting: Support compliance with hospital policies and regulatory requirements, assisting in the preparation of reports and documentation for audits as needed.

- Team Collaboration: Work closely with various departments, including human resources, finance, and clinical teams, to ensure seamless operations and effective communication across the organization.

Qualifications:

- Education: Bachelor’s degree in Healthcare Administration, Business Administration, or a related field is preferred.

- Experience: A minimum of 4 years of experience in a healthcare administrative role or related field is required. Experience in a hospital setting within the Aerospace and Defense sector is highly desirable.

- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with hospital management software and electronic health record (EHR) systems.

- Communication Skills: Excellent verbal and written communication skills in both English and Arabic. Additional language proficiency is a plus.

- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and prioritize effectively under pressure.

- Attention to Detail: A keen eye for detail and accuracy in handling sensitive information and documentation.

- Interpersonal Skills: Strong interpersonal skills with the ability to build relationships with patients, staff, and other stakeholders.
