Job Summary:
We are seeking a highly organized and detail-oriented Legal Office Assistant to join our dynamic legal team specializing in the energy sector. The ideal candidate will play a crucial role in supporting our legal department by managing administrative tasks, assisting with documentation and research, and facilitating communication within the team and with external clients.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the legal team, including managing calendars, scheduling meetings, and organizing travel arrangements.
- Document Preparation: Draft, review, and edit legal documents, contracts, and agreements, ensuring accuracy and compliance with relevant laws and regulations in the energy industry.
- Research Assistance: Conduct legal research on various issues related to energy law, regulatory compliance, and industry standards to support ongoing cases and projects.
- File Management: Maintain and organize physical and electronic files, ensuring that all documents are accurately categorized and easily retrievable.
- Client Interaction: Serve as the first point of contact for clients and external stakeholders, addressing inquiries and directing them to the appropriate legal team members.
- Billing and Invoicing: Assist in the preparation of invoices and tracking of billable hours, ensuring accurate billing in accordance with company policies.
- Compliance Monitoring: Support the legal team in monitoring compliance with local, national, and international laws and regulations pertinent to the energy sector.
- Team Collaboration: Collaborate with attorneys, paralegals, and other staff members to facilitate effective communication and workflow within the legal department.
- Record Keeping: Maintain up-to-date records of legal proceedings, deadlines, and case statuses, ensuring all relevant information is accurately documented.
Qualifications:
- Bachelor’s degree in Law, Business Administration, or a related field preferred.
- A minimum of 3 years of experience working as a legal assistant or in a similar administrative role, preferably within the energy sector.
- Familiarity with legal terminology, principles, and procedures, particularly in energy law.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and legal research tools.
- Strong organizational skills with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with a keen attention to detail.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Proactive, adaptable, and able to work both independently and as part of a team.
