Job Description:
We are seeking a highly organized and detail-oriented Legal Office Assistant to join our dynamic team in Abu Dhabi. The successful candidate will provide essential administrative support to our legal department and contribute to the efficient operation of our financial services organization. The ideal candidate will possess a strong understanding of legal terminology, processes, and procedures, as well as a keen interest in the financial services sector.
Key Responsibilities:
- Document Management: Assist in the preparation, review, and filing of legal documents, contracts, and agreements. Ensure all documents are accurate, complete, and comply with legal standards and company policies.
- Research Support: Conduct legal research and gather relevant information for ongoing cases and projects. Assist in the preparation of reports and summaries based on research findings.
- Communication: Serve as the point of contact for internal and external stakeholders, including clients, legal representatives, and regulatory authorities. Respond to inquiries and facilitate effective communication within the legal department.
- Case Management: Assist in managing case files, maintaining an organized system for tracking deadlines, court dates, and important milestones. Ensure that all case-related documents are properly indexed and easily accessible.
- Scheduling and Coordination: Coordinate meetings, hearings, and appointments for legal staff. Prepare agendas, take minutes, and distribute relevant materials to participants.
- Administrative Support: Perform general office duties such as managing correspondence, maintaining filing systems, and ordering office supplies. Assist in the preparation of presentations and other materials as needed.
- Compliance Assistance: Support compliance efforts by assisting in the preparation of documents for regulatory filings and audits. Keep up-to-date with changes in laws and regulations that may impact the organization.
- Team Collaboration: Work closely with lawyers, paralegals, and other legal staff to ensure smooth workflow and timely completion of projects. Foster a collaborative team environment.
Qualifications:
- Bachelor’s degree in Law, Business Administration, or a related field preferred.
- A minimum of 3 years of experience in a legal administrative role, preferably within the financial services sector.
- Strong understanding of legal terminology and processes.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal research tools.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines effectively.
- Strong written and verbal communication skills in English; proficiency in Arabic is a plus.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Attention to detail and a proactive approach to problem-solving.
