Job Description:
We are seeking a highly organized and proactive Office Coordinator to support our dynamic team in the real estate sector based in Dubai. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing administrative support, and enhancing the overall efficiency of our processes. Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the management team and staff, including scheduling meetings, managing calendars, and organizing travel arrangements.
- Office Management: Oversee the daily operations of the office, ensuring a clean, organized, and efficient work environment. Manage office supplies inventory and procurement.
- Documentation & Reporting: Prepare, edit, and manage various documents, including reports, presentations, and correspondence. Maintain an organized filing system for both physical and digital records.
- Client Interaction: Serve as a primary point of contact for clients, vendors, and visitors. Greet guests and manage incoming calls and emails professionally and courteously.
- Event Coordination: Assist in planning and coordinating company events, meetings, and team-building activities. Ensure all logistics are handled effectively.
- Team Collaboration: Work closely with various departments, including sales, marketing, and finance, to facilitate effective communication and collaboration among team members.
- Data Management: Maintain and update databases and client records, ensuring accuracy and confidentiality. Assist in generating reports and data analysis as needed.
- Compliance & Regulations: Stay informed about local regulations and compliance requirements related to the real estate sector, assisting in ensuring the company adheres to these standards.
Qualifications:
- Bachelor’s degree in Business Administration, Real Estate, or related field preferred.
- 2 to 5 years of experience in office coordination or administrative roles, preferably within the real estate industry.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with office management software.
- Strong interpersonal skills and the ability to work collaboratively in a team environment.
- Detail-oriented and proactive with a problem-solving mindset.
- Knowledge of real estate processes and terminology is an advantage.
