Job Summary:

We are seeking a highly organized and enthusiastic Wedding Coordinator Assistant to join our dynamic team in the real estate sector. This role is integral to the success of our wedding planning services, assisting clients in curating unforgettable celebrations within our luxurious properties. The ideal candidate will possess a keen eye for detail, excellent communication skills, and a passion for creating memorable experiences.

Key Responsibilities:

- Client Interaction: Assist the Wedding Coordinator in meeting with clients to discuss their vision for their wedding, including theme, budget, and preferred venues within our real estate portfolio.
- Vendor Coordination: Support the Wedding Coordinator in liaising with various vendors, including caterers, florists, photographers, and entertainers to ensure seamless collaboration and delivery of services.
- Logistical Support: Help manage all logistics of wedding planning, including setting timelines, coordinating transportation, and ensuring that all elements are in place for a successful event.
- Venue Setup: Assist in the preparation and setup of wedding venues, ensuring that all décor, seating arrangements, and technical equipment are organized and functioning correctly.
- On-Site Support: Provide on-the-day assistance during wedding events, managing schedules, addressing any issues that may arise, and ensuring that the couple and their guests have a smooth and enjoyable experience.
- Budget Management: Aid in tracking expenses and managing budgets, ensuring that costs remain within the agreed-upon limits while delivering high-quality services.
- Communication: Maintain open lines of communication with clients, vendors, and team members to ensure that everyone is informed and aligned throughout the planning process.
- Administrative Tasks: Perform various administrative tasks such as updating client files, preparing contracts, and managing correspondence related to wedding planning activities.
- Post-Event Follow-Up: Assist in conducting post-event evaluations, gathering feedback from clients, and providing insights for future improvements.

Qualifications:

- Bachelor’s degree in Hospitality Management, Event Planning, or related field preferred.
- 2 to 5 years of experience in event coordination, wedding planning, or a related role.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent interpersonal and communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite and knowledge of event planning software.
- Ability to work flexible hours, including weekends and evenings, as required.
- Knowledge of the Dubai wedding market and local vendors is a plus.
- Strong problem-solving skills and the ability to think on your feet in a fast-paced environment.
