Job Description:

We are seeking a highly motivated and detail-oriented Hotel Event Manager Assistant to join our vibrant team in Dubai. This position will play a crucial role in supporting the Event Manager in planning, organizing, and executing a variety of events in our hotel, while also closely collaborating with our manufacturing division to create seamless experiences for our clients and guests.

Key Responsibilities:

- Event Coordination: Assist the Event Manager in the planning and execution of various events, including conferences, banquets, weddings, and corporate functions. Ensure all aspects of the event align with client expectations and hotel standards.

- Client Liaison: Serve as a point of contact for clients throughout the event planning process. Understand their needs and preferences, providing personalized service to create memorable experiences.

- Logistics Management: Coordinate with various departments such as catering, housekeeping, and audio-visual teams to ensure all logistical requirements are met. Prepare detailed timelines and checklists to track progress and ensure timely completion of tasks.

- Budget Oversight: Assist in managing event budgets, including tracking expenses and ensuring adherence to budgetary guidelines. Help identify cost-effective solutions to enhance event offerings.

- On-Site Support: Be present during events to assist with setup, execution, and teardown. Address any issues that arise promptly and efficiently to ensure a smooth experience for clients and attendees.

- Vendor Coordination: Liaise with external vendors and suppliers for services such as decoration, equipment rental, and entertainment. Ensure that all services provided meet hotel standards and client expectations.

- Marketing & Promotion: Collaborate with the marketing team to promote upcoming events through various channels. Assist in creating promotional materials and managing social media campaigns related to events.

- Feedback & Reporting: Gather feedback from clients post-event and assist in compiling reports to evaluate event success. Provide recommendations for improvements in future events based on feedback.

Qualifications:

- Bachelor’s degree in Hospitality Management, Event Management, or a related field preferred.
- A minimum of 2 to 5 years of experience in event planning or hotel management, with a focus on corporate and social events.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication and interpersonal skills to build relationships with clients and team members.
- Proficient in Microsoft Office Suite and event management software.
- Knowledge of the Dubai hospitality and manufacturing landscape is a plus.
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
- Fluency in English is required; knowledge of Arabic or other languages is an advantage.
