Job Summary:
We are seeking a highly organized and proactive Practice Manager Assistant to support the daily operations of our healthcare practice in Sharjah. The ideal candidate will play a crucial role in ensuring that the practice runs smoothly and efficiently while providing exceptional service to our patients. This position requires strong administrative skills, excellent communication abilities, and a commitment to maintaining high standards of patient care.

Key Responsibilities:

- Administrative Support:
- Assist the Practice Manager in daily administrative tasks, including scheduling meetings, managing calendars, and maintaining office supplies.
- Prepare and organize patient documentation, including medical records, consent forms, and billing information.
- Handle incoming calls, emails, and correspondence, providing timely responses and directing inquiries to the appropriate personnel.

- Patient Coordination:
- Greet patients as they arrive, ensuring a welcoming environment and addressing any immediate needs or concerns.
- Schedule appointments and follow-up visits, managing the appointment calendar effectively to minimize wait times.
- Ensure that patient check-in and check-out processes run smoothly, including verifying insurance information and collecting payments.

- Financial Administration:
- Assist with billing and coding processes, ensuring accuracy and compliance with healthcare regulations.
- Support the Practice Manager in tracking expenses and preparing financial reports.
- Monitor accounts receivable and follow up on outstanding payments as needed.

- Regulatory Compliance:
- Help ensure that the practice adheres to all local, state, and federal healthcare regulations and standards.
- Assist in maintaining up-to-date knowledge of healthcare policies, insurance requirements, and compliance protocols.

- Team Collaboration:
- Work closely with medical staff, including physicians, nurses, and administrative personnel, to foster a collaborative work environment.
- Participate in team meetings, contributing ideas for improving practice operations and patient satisfaction.

- Continuous Improvement:
- Identify areas for process improvement and efficiency within the practice.
- Provide training and support to new staff members on administrative procedures and systems.

Qualifications:

- Education:
- Bachelor’s degree in Healthcare Administration, Business Administration, or a related field is preferred.

- Experience:
- Minimum of 3 years of experience in a healthcare administrative role or practice management setting.

- Skills:
- Strong organizational and multitasking abilities with a keen attention to detail.
- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with practice management software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
