Job Summary:

We are seeking a dynamic and detail-oriented Hotel Event Manager Assistant to join our team in the heart of Dubai’s vibrant financial services sector. The ideal candidate will support the Event Manager in planning, organizing, and executing a variety of events that cater to our esteemed clientele, ensuring a seamless experience from conception to completion.

Key Responsibilities:

- Event Coordination: Assist the Event Manager in the planning and coordination of corporate events, conferences, meetings, and social gatherings, ensuring all event details are executed flawlessly.

- Client Liaison: Serve as a point of contact for clients, maintaining strong relationships, understanding their needs, and providing exceptional customer service throughout the event planning process.

- Logistics Management: Coordinate logistics including venue setup, audio-visual equipment, catering, transportation, and accommodation for attendees, while adhering to budget constraints and timelines.

- Vendor Coordination: Source, negotiate, and manage relationships with suppliers and vendors, ensuring high-quality service delivery and cost-effectiveness.

- Event Marketing: Assist in the development and implementation of marketing strategies to promote events, including creating promotional materials and utilizing social media platforms.

- Budget Tracking: Help monitor event budgets, track expenses, and prepare financial reports to ensure events are delivered within financial parameters.

- On-Site Support: Provide on-site support during events, managing registration desks, liaising with staff, and troubleshooting any issues that arise to ensure a smooth execution.

- Post-Event Analysis: Participate in post-event evaluations, gathering feedback from clients and attendees to assess the event's success and identify areas for improvement.

Qualifications:

- Bachelor’s degree in Hospitality Management, Event Management, Business Administration, or a related field.

- Minimum of 2 years of experience in event management or a related role, preferably within the hospitality or financial services sector.

- Proven ability to manage multiple projects simultaneously while maintaining attention to detail.

- Strong organizational and time-management skills, with the ability to work under pressure and meet deadlines.

- Excellent communication and interpersonal skills, with a strong customer service orientation.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with event management software.

- Knowledge of the Dubai market and local vendors is highly desirable.

- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
