Job Overview:
We are seeking a highly organized and proactive Personal Assistant to support our senior management team in the education sector. The ideal candidate will possess excellent communication skills, a keen attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment. This role involves providing comprehensive administrative support, facilitating smooth operations, and contributing to the overall effectiveness of the team.
Key Responsibilities:
- Administrative Support: Provide high-level administrative support, including managing schedules, coordinating appointments, and handling correspondence. Prepare reports, presentations, and other documents as needed.
- Calendar Management: Organize and maintain the executive’s calendar, prioritizing appointments, meetings, and travel arrangements. Ensure that all relevant materials are prepared in advance.
- Communication Liaison: Act as the primary point of contact between the management team, staff, and external stakeholders. Handle inquiries, respond to emails, and manage phone calls professionally and promptly.
- Event Coordination: Assist in planning and coordinating meetings, workshops, and educational events. Manage logistics, including venue selection, catering, and materials preparation.
- Research and Data Management: Conduct research on various topics relevant to the education sector, compile data, and prepare summaries or reports for management review.
- Project Assistance: Support various projects within the organization by tracking progress, deadlines, and deliverables. Assist in preparing project documentation and presentations.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
- Office Management: Oversee office supplies and inventory, ensuring that necessary resources are available. Collaborate with other administrative staff to maintain an efficient office environment.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Education, or a related field is preferred.
- Experience: Minimum of 3-5 years of experience as a Personal Assistant or in a similar administrative role, preferably in the education sector.
- Skills:
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management procedures and basic accounting principles.
- Ability to work independently and as part of a team.
