Job Summary:
We are seeking a highly organized and detail-oriented Hotel Event Coordinator to join our dynamic team in Abu Dhabi's thriving telecommunications sector. The ideal candidate will be responsible for planning, executing, and overseeing various events hosted at our hotel, ensuring a seamless experience for clients and guests. This role requires excellent communication skills, creativity, and the ability to manage multiple projects simultaneously.
Key Responsibilities:
- Event Planning & Coordination:
- Collaborate with clients to understand their event needs, budgets, and objectives.
- Develop detailed event proposals, including logistics, timelines, and budget breakdowns.
- Coordinate with vendors, suppliers, and hotel staff to ensure all event requirements are met.
- On-Site Management:
- Oversee the setup, execution, and breakdown of events, ensuring adherence to the client’s specifications and hotel standards.
- Serve as the primary point of contact for clients during events, addressing any issues or changes promptly and effectively.
- Conduct post-event evaluations to gather feedback and improve future events.
- Marketing & Promotion:
- Assist in developing marketing strategies to promote the hotel’s event services.
- Create promotional materials and use social media platforms to attract potential clients.
- Attend networking events and trade shows to promote the hotel and establish industry connections.
- Budget Management:
- Monitor event budgets, ensuring profitability while delivering exceptional service.
- Negotiate contracts with vendors and suppliers to secure the best pricing and services.
- Administrative Duties:
- Maintain organized records of all events, including contracts, correspondence, and invoices.
- Prepare reports on event performance, client satisfaction, and revenue generation.
Qualifications:
- Bachelor’s degree in Hospitality Management, Event Management, Communications, or a related field.
- A minimum of 3 to 5 years of experience in event planning or hotel coordination, preferably in the telecommunications industry.
- Strong organizational skills with the ability to manage multiple projects under tight deadlines.
- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Proficient in Microsoft Office Suite and event management software.
- Strong negotiation skills and a keen eye for detail.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.
